There are also similar rights to environmental information under the Environmental Information Regulations (EIR).

How to make a request for information

Requests should be made in writing and need to include:

  • Your name
  • Contact details (email address is sufficient)
  • The information you would like to request

There is no need to explain why you are requesting the information, however the more detail you can provide, the less likely we are to come back to you for clarification.

What happens next?

Upon receipt, your request will be acknowledged and a reference number provided.

We aim to reply to you promptly and are obliged under the law to provide a response within 20 working days.

We may refuse your request for information if:

  • The estimated time to collate all the information requested exceeds 18 hours
  • One or more of the exemptions under the Act apply
  • We consider it to be a vexatious or repeated request

If we do decide to refuse your request, we will notify you of this and the reasons why as soon as possible.

Internal Review Procedure

If you are dissatisfied with the way in which your request has been handled, you can ask for an internal review. Where possible, we will try to resolve your concerns on an informal basis in the first instance.

Internal review requests should be submitted within 40 working days from the date of our response.

Please outline which part of the response you are not happy with, along with your reasons and any supporting evidence.

A response will be provided within 20 working days.

If you remain dissatisfied with the handling of your request, you have the right to appeal to the Information Commissioner at www.ico.gov.uk.

Fees and Charges

We don't usually charge for providing information under the FOI or EIR, but in some circumstances we may apply a charge to recover the relevant costs of postage, printing and photocopying. If a fee is required, we will write to you explaining why.

Printing costs will be as follows:

  • A4 Black and White 10p per sheet
  • A4 Colour 50p per sheet

Postage costs will be based on current Royal Mail charges.
